Major ApprovalFlow features
Features for users
Language is switchable between English, Japanese, Chinese (simplified), and Thai.
Each user can use ApprovalFlow in their choice of English, Japanese, Chinese (simplified), and Thai.
* Information entered by users into application forms will be displayed in the same language as it is entered.
This feature doesn't change or translate such user data.
* To display Thai, the Language Pack must be installed in advance.
Easy to apply for and approve
For all operations, only a web browser is required.
In the approval process, you can choose to "Approve", " Reject" and "Send Back" individual applications.
* During the acknowledgement process, you can only "Confirm".
* When using "Send Back", application form data will be sent back to the applicant or a previous approver.
Comments
You can leave a comment when you approve, reject, send back or confirm an application.
Make applications by proxy
A proxy applicant can make an application on behalf of another applicant.
You can submit urgent applications on behalf of your busy superior.
Proxy approvals
While you are away on business or a long vacation, a proxy approver can process the application without changing the approval route.
A proxy approver can approve, reject or send back the application on behalf of the original approver.
Priority
When you need an application to be processed quickly, you can set its priority.
Applications marked "Urgent" will have an "Urgent" mark appear on the processor's list screen.
Pending approval list
On the pending approval list, you can monitor the statuses (at the route step level) of various applications that are in-progress.
Applications that need to be handled can be done in advance.
Initial approval route settings
An operational administrator can configure the initial values of the approval route for each application form so that a user does not have to configure or change the approval route every time they make an application.
Acknowledgement route
After setting an approval route, you can configure an acknowledgement route.
This route can be used as a circular before making the application public.
Process in series
Application forms can be processed in series. It will be a benefit for a user who has to process many applications.
Features for administrators
User management
Users can be mangaged through categorization within an organization or a role.
Roles define groups that can not be categorized by organization chart, such as Post, Assignment, or conditions of employment.
You can configure access privileges or initial route step values by users, roles and organizations.
Create forms in your web browser
You can easily create application forms within your web browser.
Form item access privileges
Administrators can set user privileges to view/edit form items in each application form.
Public settings
If an administrator configures the public setting of a category, the application form in the configured category will be available for reading those forms who are not set as the application route.
Operational administrator settings
A system administrator can transfer some administrative privileges to others, such as for setting user access privileges for a certain category, or for managing application forms and data.
Access privilege settings
System administrators and operational administrators can set access privileges on each category by user, organization, and role.
Access privilege settings for attachment fields
An operational administrator can configure access privileges on attachment fields to allow or restrict which users can attach files.
By configuring this setting, an updated file can be attached to a form at the proper route step, according to the approval route.
Automatic application form numbering
Applications can be numbered automatically. Also, application numberings can be reset annually. You can also configure each application form to use custom numbering formats.
Shared routes
By configuring shared routes, you can reuse the same route on several different forms. Then, route management such as changing routes can be done all at once.
Export to CSV files
Application forms can be exported to CSV files.
